Due to the growing amount of fundraising activity at the University, we have found it necessary to put in place a simple policy that will help to facilitate the process and ensure that all appropriate parties at the University are informed about current and future fundraising activity. All donations, including gift-in-kind (equipment, etc.) must be processed by the Office of Institutional Advancement. Requests for external proposals from private sources need to be submitted and approved in writing prior to requesting funding from external sources. By going through the approval process, a tracking system is implemented which ensures that the University is aware of which individuals or organizations have been approached for funding; what type and amount of funding is being applied for, and the amount that is received. This will also help to prevent over-solicitation of certain funders, and ensure that acknowledgement and important tax documents are sent to the donating individual or organization. Ultimately, this process exists to maximize chances for funding. The guide below outlines the required University procedure for external funding requests.

The CFRO will schedule a one-on-one meeting with the individual requesting funding to discuss recommendations and next steps.
**All requests of $5,000 or more will be submitted to Cabinet for University approval.**
Please note that many corporate foundation donors operate on an annual grants cycle with specific deadlines for accepting proposals. Deadlines typically range from four per year to a single annual deadline. The interval between the receipt of the proposal and the notification of awards/denials may be anywhere from three to nine months, occasionally more. For this reason, preparation for a grant proposal should begin well in advance of the need for funds – preferably a year ahead.
